Program Terms & Guidelines
Welcome to the PooLin Creator Partner Program!
We aim to build long-term partnerships with people who love creating and sharing their work. Whether you are exploring your first embroidery machine, running a personalized products business, or helping students and communities learn new skills, PooLin hopes to support your growth with suitable products, creative resources, and technical assistance.
These terms explain eligibility, partnership options, content requirements, and compensation arrangements. The support provided to each creator and the required deliverables will be specified in the individual partnership plan.
1. Who Can Apply
We welcome applications from the following creators, individuals, and organizations:
- Embroidery, sewing, craft, and DIY creators;
- Creators of personalized gifts, apparel, and custom products;
- Small business owners, studios, and growing brands;
- Creators sharing family, lifestyle, and creative project content;
- Teachers, course organizers, and community leaders;
- Other content creators whose work relates to PooLin products and their uses.
We do not have a universal minimum follower requirement. Beyond account size, we value authentic enthusiasm for creating, content quality, audience relevance, and the trust you have built within your community.
Applicants must have the legal capacity to enter into a binding agreement, genuinely operate the accounts, websites, or organizations submitted, and provide accurate contact information. Availability of product support, shipping, and payments in an applicant’s region will be confirmed by PooLin during the review process.
2. How to Join
- Submit an application: Provide your account or website links, creative focus, location, relevant experience, and partnership ideas.
- Review and discussion: PooLin evaluates partnership opportunities based on your application, content performance, audience, and project needs. We may contact you for further discussion.
- Confirm the partnership plan: Both parties agree on product support, content arrangements, compensation, and other project terms.
- Begin the partnership: Once the required agreements, account setup, and payment information are complete, the relevant products or project will be arranged.
Submitting an application, receiving an automated response, or registering for an affiliate account does not mean you have been approved for machine support, paid projects, or any other specific benefits. All support requires PooLin’s confirmation.
3. Partnership Options
Depending on your creative focus and practical needs, we may offer one or more of the following partnership options:
Affiliate Promotion
Share eligible products through approved referral links or exclusive discount codes and earn commissions on confirmed qualifying orders.
Supplies Testing & Reviews
Try approved threads, stabilizers, or other compatible products and share authentic projects and experiences.
Machine Content Partnerships
Create machine-related content through approved arrangements such as gifted machines, loans, discounted purchases, or milestone-based reimbursements.
Paid Content Partnerships
Produce or publish videos, images, tutorials, or other content according to an agreed creative brief.
Education & Community Partnerships
Collaborate on classes, workshops, demonstrations, or community activities.
Long-Term Partnerships
Explore ongoing content projects, supplies support, paid opportunities, and machine upgrades as the partnership develops.
Joining the affiliate program does not automatically create a fixed video requirement. Deliverables for machine, supplies, or paid projects are governed by the specific written partnership plan.
4. Support You May Receive
Approved partnership support may include:
- Machine support or creator purchase discounts;
- Affiliate commissions on eligible products;
- Exclusive offers for your audience;
- Supplies and materials related to your project;
- Product learning resources and technical guidance;
- Opportunities to be featured or have your content shared through official channels;
- Paid content, special campaigns, and collaborative projects;
- Future machine upgrades or expanded partnership opportunities.
These are not fixed benefits automatically granted to every applicant, nor does participation mean that all products will be provided free of charge. Support depends on the partnership plan, product suitability, region, inventory, and project arrangements.
PooLin hopes to work with you on a practical creative plan. You are welcome to share project ideas, learning needs, and business goals so we can discuss suitable partnership options based on the circumstances.
5. Machine & Supplies Support
5.1 Machine Support Arrangements
Each machine project will specify which of the following arrangements applies:
- Gifted machine: A machine is provided subject to the partnership conditions stated in the agreement.
- Loaned machine: A machine is provided for an agreed period and must be returned as required.
- Discounted purchase: A machine is purchased at an approved creator price.
- Milestone-based reimbursement: An agreed reimbursement is provided after specified content or sales milestones are completed.
The model, quantity, purchase amount, ownership, return arrangements, and reimbursement conditions will be governed by the written agreement. Free machines are approved partnership opportunities, not a default benefit of joining the program.
5.2 Shipping Arrangements
Machines will be scheduled for shipment after the required agreements have been signed, payment conditions have been met, and shipping information has been confirmed. Dispatch and transit times depend on inventory, destination, and logistics.
Please provide an accurate address that can accept delivery and a valid contact phone number. If you discover missing items, shipping damage, or other issues, contact PooLin promptly so we can assist.
5.3 Supplies Support
Supplies support should fit the specific project and be compatible with the relevant machine. When applying, please describe the materials you need, their intended use, and your creative plans. Approval, quantities, and deliverables will be confirmed for each project.
Before the project begins, we will explain whether the support includes content requirements. We will not unilaterally add deliverables after products have been shipped.
5.4 Technical Support
During the partnership, you may contact PooLin for help with product learning, material compatibility, and usage questions. Repairs, warranties, replacement parts, and shipping matters are governed by the applicable product policies and written agreement.
If machine issues, missing items, or shipping delays affect your content schedule, please contact us promptly. We will review the circumstances and adjust relevant milestones as appropriate.
6. Content Creation & Deliverables
6.1 Project Planning
Partnerships involving content deliverables will specify the following in advance:
- Publishing platforms and accounts;
- Content types, quantities, and topics;
- Deadlines for the first piece of content and overall completion;
- Whether advance review is required;
- Links, discount codes, and brand mentions;
- How long content must remain publicly available;
- Performance reporting and content usage rights.
Content quantities, filming formats, or platforms not specified in the agreement do not automatically become additional requirements. New requests must be discussed and agreed upon by both parties.
6.2 Content We Encourage
We welcome unboxings, authentic product use, project tutorials, classroom demonstrations, personalized products, small business production, materials testing, and learning journeys from single-needle to multi-needle embroidery.
Every piece of content does not need to be a sales presentation. Clear demonstrations, finished projects, learning experiences, and practical feedback can all provide value to your audience.
6.3 Authenticity & Originality
Content must be based on genuine experience and accurately describe product models, features, and applicable conditions. Do not fabricate product experiences, orders, income, or results, or make unsubstantiated performance claims or earnings guarantees.
We respect your honest opinions and welcome objective feedback and fair comparisons. Fabricated claims, maliciously misleading edits, and attacks without a factual basis are not permitted.
Please ensure that you have the necessary rights and permissions for any music, designs, fonts, images, and people appearing in your content, and follow product safety instructions.
6.4 How Deliverables Are Counted
Unless otherwise agreed in writing:
- The same work published across multiple platforms counts as one original work.
- Clips taken from the same long-form video do not automatically count as multiple independent original works.
- Short-form videos with distinct topics and substantive content may count toward agreed short-form deliverables.
- Livestreams must include the agreed demonstrations or content and be supported by a verifiable record.
- Brief product appearances, duplicate uploads, or minor edits do not automatically count as new, complete deliverables.
The parties may separately agree on cross-platform publishing and content repurposing arrangements in the project plan.
6.5 Brand & Promotional Information
Where required by the project, include the following in appropriate locations supported by the platform:
- @poolinembroiderymachine
- #poolinembroiderymachine
If the relevant account handle or platform functionality differs, follow the information provided by PooLin. Promotional content should include valid referral links or offer details in the description, post text, profile link, or another agreed location.
Brand tags do not replace commercial relationship disclosures.
6.6 Content Submission
Submit published content links, platforms, and publication dates as required, along with the agreed basic performance data. If content must be registered through a reporting portal, complete the relevant submission. Contact your partnership representative if you encounter system issues.
Performance data is used for project records and partnership evaluation. It does not mean creators must guarantee minimum views or sales unless the parties have separately agreed on specific performance-based reward conditions.
6.7 Review & Revisions
Organic content for standard machine partnerships generally does not require advance review. Paid custom content, confidential product launches, and other special projects may require scripts or unpublished videos to be submitted as agreed.
Reviews primarily address factual accuracy, required deliverables, safety, disclosures, and project requirements. The scope, number, and timing of revisions are governed by the individual plan. Additional filming or changes to an approved creative direction must be discussed separately.
6.8 Extensions & Content Availability
If health, family circumstances, platform issues, or other practical matters require a schedule change, please contact PooLin as early as possible and propose a workable revised plan.
The required period of public availability is governed by the agreement. If content becomes unavailable due to platform action, copyright issues, or account problems, contact us promptly to discuss a remedy. Where reasonably possible, update relevant content when offers expire or information changes.
7. Commercial Relationship Disclosures
When recommending products, creators must clearly disclose their actual relationship with PooLin, including payment, free or discounted products, supplies support, and affiliate commissions, and comply with applicable requirements in their region and on the publishing platform.
Disclosures should be clear, easy to notice, and close to the relevant recommendation. Videos should include disclosures within the video; livestreams should repeat disclosures at appropriate intervals; posts and Stories should clearly disclose the relationship within the relevant content. A disclosure only in a profile, at the end of a description, or among numerous hashtags may not adequately inform viewers.
Use wording that accurately reflects your arrangement, such as:
Gifted product:
“PooLin provided this machine for me to try. The opinions in this video are my own.”
Creator discount purchase:
“I purchased this machine at a creator discount through my partnership with PooLin.”
Paid content:
“This video is sponsored by PooLin.”
Affiliate promotion:
“If you purchase through my link or code, I may earn a commission.”
If more than one relationship applies, disclose all relevant arrangements. Platform partnership labels may be used alongside these disclosures but do not replace the necessary clear explanation.
8. Affiliate Promotion & Order Attribution
8.1 Account Registration
Participation in the PooLin Store affiliate program requires registration, approval, and valid contact and payment information. Eligibility and applicable benefits are subject to PooLin’s confirmation.
Orders placed before account approval do not automatically qualify for commissions. Any special arrangements require separate confirmation from PooLin.
8.2 Commission Rates & Eligible Products
Commission rates, eligible products, regions, and campaign conditions are governed by PooLin’s written partnership plan, confirmed account settings, or official notices.
Different machines, supplies, third-party products, and special bundles may be subject to different rules. A commission rate for one product does not automatically apply to all products.
8.3 Referral Links & Discount Codes
Approved referral links or exclusive discount codes may be used to track orders. Customers are not required to use both.
A customer’s use of a link or code does not guarantee that the order will be attributed to that creator. Orders remain subject to PooLin’s review and confirmation, and the same order will not generate duplicate commissions.
Tracking windows and applicable conditions are governed by the system settings and rules confirmed by PooLin. Cross-device purchases, cleared or rejected cookies, different sales channels, and replaced links or offers may affect tracking.
8.4 Order Attribution & Authoritative Records
Order attribution, valid referrals, commissionable amounts, and commission settlement are based on the data provided, reviewed, and confirmed by PooLin. PooLin reserves the right to make the final interpretation of order attribution rules and the final determination of order attribution.
Affiliate links, exclusive discount codes, customer feedback, chat records, third-party platform statistics, and creators’ own records serve only as supporting information for review. They do not independently establish entitlement to order attribution or commission payments.
If a creator dashboard, third-party platform, or independently maintained records differ from PooLin’s reviewed data, the data provided and finally confirmed by PooLin will prevail.
For orders involving multiple referral sources, sales staff assistance, replaced links or discount codes, abandoned checkout recovery, replacement orders, or cross-channel purchases, PooLin will make the final attribution determination based on relevant records and review findings.
8.5 Commission Calculation
Commissions are calculated using confirmed qualifying net product sales and the applicable commission rate.
Unless otherwise agreed in writing, qualifying net product sales means the amount actually paid for eligible products after applicable discounts and refunds, excluding taxes, shipping, and other non-commissionable charges.
Partial refunds, product changes, and other order adjustments may result in corresponding commission changes. Calculations for bundles, foreign-currency transactions, and special orders are subject to PooLin’s review and confirmation.
8.6 Orders That Do Not Earn Commissions
These include, but are not limited to:
- Orders whose attribution has not been confirmed by PooLin;
- Canceled, fully refunded, fraudulent, or charged-back orders;
- Products, regions, or channels outside the eligible scope;
- Gifts, replacements, or reshipments that involve no additional payment;
- Unapproved self-purchases, fictitious transactions, or other orders that violate program rules.
If an order is refunded, charged back, or found ineligible after its commission has been paid, PooLin may adjust the commission and deduct the corresponding amount from future payments or request repayment.
8.7 Other Sales Channels
Orders placed through Amazon, dealers, offline channels, or other marketplaces are not automatically eligible for PooLin Store affiliate commissions.
Commissions from platforms such as TikTok Shop follow the applicable platform and project rules and do not automatically stack with PooLin Store commissions. Special cross-channel arrangements require separate confirmation.
9. Commission Settlement & Payment
9.1 Settlement Timing
Unless otherwise agreed in writing, commissions are generally scheduled for settlement approximately 60 days after a qualifying order is completed, provided there are no returns, refunds, chargebacks, or other unresolved issues.
Order completion dates, commission status, and specific payment arrangements are based on the data and notices provided, reviewed, and confirmed by PooLin. Approximately 60 days does not guarantee receipt of payment on the 60th day after an order is placed. Actual receipt also depends on order status, review, payment information, and payment processing.
9.2 Payment Information
The default payment method is PayPal. Other methods require PooLin’s confirmation. Please provide accurate, valid payment account information and any required documentation, and notify us promptly of changes.
Payments may be placed on hold until issues are resolved if information is incomplete, an account is invalid, or additional information is legally required. Any special minimum payment threshold, settlement currency, or fee arrangements will be explained in the applicable plan or notice.
9.3 Questions & Disputes
If you believe an order or commission contains an error, you may request a review by providing your partnership representative with the order number, promotional information, and supporting evidence.
Submitted materials serve only as supporting information for review. Final order attribution, commission amounts, adjustments, and payment outcomes remain subject to the data provided and finally confirmed by PooLin.
10. Exclusive Offers & Promotional Standards
The eligible products, regions, discount amounts, validity periods, and combination rules for exclusive codes are governed by the latest information provided by PooLin. A discount code is not necessarily permanent or valid for all products.
Use accurate pricing and promotional information. Do not advertise unauthorized claims such as “lowest price,” “sitewide,” or “permanent discount,” or guarantee business earnings. When promotions change, update editable promotional information where reasonably possible.
Without approval, you may not:
- Impersonate PooLin’s official accounts, customer service team, or sales representatives;
- Use fake traffic, fabricated orders, forced redirects, or other deceptive tracking methods;
- Distribute exclusive codes in bulk to coupon, cashback, or other unauthorized websites;
- Bid on PooLin brand keywords or run other unauthorized advertising;
- Promote products through spam or misleading methods;
- Make unauthorized promises regarding refunds, compensation, warranties, or other brand benefits.
11. Paid Content & Milestone-Based Reimbursements
11.1 Paid Content
Before production begins, paid projects must confirm the creative brief, deliverable quantities, pricing, review process, usage rights, and payment arrangements.
Production fees, publication on the creator’s account, advertising permissions, raw footage, and other additional services may be priced separately. A quote for one project does not establish standard pricing for future projects.
Payment will be made according to the written plan after the agreed deliverables have been satisfactorily completed. Additional filming, changes in direction, or expanded usage rights must be discussed separately.
11.2 Milestone-Based Reimbursements
Creators participating in discounted purchase or milestone-based reimbursement projects must meet the conditions in their individual agreements.
The agreement will specify the purchase amount, reimbursement calculation basis, content or sales milestones, deadlines, reimbursement amounts, and payment arrangements. Reimbursements will not be calculated using an unagreed retail price or other amount and do not mean a machine will be free without the required conditions being met.
Whether commissions and reimbursements can both apply is governed by the individual plan. Purchase refunds, order adjustments, or early withdrawal will be handled according to the agreement and PooLin’s confirmation.
12. Content Usage Rights
We respect creators’ original work. PooLin’s use of content is governed by the permissions expressly agreed upon by both parties.
Usage permissions should specify the content, channels, duration, scope, and whether editing is permitted. The following uses should be confirmed separately as applicable to the project:
- Sharing or reposting on official social channels;
- Use on the website, in emails, or in project showcases;
- Use on PooLin Store, Amazon, or other ecommerce pages;
- Paid advertising;
- Advertising through the creator’s account;
- Delivery of watermark-free finished content, raw footage, or other files.
Receiving a machine, adding brand tags, or submitting content links does not automatically grant PooLin perpetual, all-channel usage rights. Advertising, ecommerce, and other additional uses require the appropriate permission.
Without express consent, PooLin will not edit content to change the creator’s intended meaning or generate fabricated versions of the creator’s voice, likeness, or statements. Music, designs, and footage featuring people that will be used in advertising must have the appropriate commercial permissions.
13. Other Brand Partnerships & Confidentiality
Partnerships involving other brands must comply with the creator’s agreement with PooLin. Any agreed exclusivity, competitor restrictions, or specific publishing windows must be followed.
Creators must ensure that other partnerships do not conflict with their PooLin agreements, disclose confidential information, or interfere with agreed deliverables. Please discuss any potential conflicts with PooLin in advance.
Nonpublic products, campaigns, and partnership materials identified as confidential must be kept confidential as agreed, and any applicable release dates must be observed.
14. Partnership Changes & Withdrawal
We understand that creative and business plans may change. If you need to pause, extend, or leave a partnership, please contact your partnership representative promptly to agree on next steps.
Outstanding deliverables, completed work, machine status, fees, commissions, reimbursements, and usage rights will be handled according to the relevant written agreement and review findings.
Loaned machines must be returned as agreed. Purchased machines and after-sales support are governed by the applicable policies and agreements. Responsibility for machines that are required to be returned but are not returned, are lost, or sustain demonstrable user-caused damage will be handled as agreed.
Normal wear and tear, shipping damage, or product quality issues will not, by themselves, be treated as a creator’s breach of the agreement.
PooLin may suspend benefits or terminate a partnership in cases involving false information, fraudulent transactions, serious infringement, unauthorized promotion, or other material violations. For issues that can reasonably be corrected, PooLin will generally provide notice and discuss a resolution based on the circumstances.
Withdrawal or termination does not automatically cancel earnings that have already been confirmed, meet settlement requirements, and are undisputed. Whether content usage rights continue, and for how long, is governed by the original licensing agreement.
15. Information, Updates & Contact
Please ensure that your application, account, shipping, and payment information is accurate and valid, and notify us promptly of any changes. PooLin will process relevant information as needed for application review, partnership fulfillment, shipping, and payment.
These terms may be updated to reflect changes in products, systems, and project arrangements. Updated terms apply to relevant projects or orders after their effective date. Existing special agreements remain governed by their terms, and changes to existing obligations require separate confirmation.
For questions about applications, content arrangements, technical support, orders, or commissions, please use the official contact channels listed on the PooLin Creator Partner Program page or contact your partnership representative directly.
Thank you for sharing your creativity, experience, and authentic stories with others. We look forward to exploring more possibilities in embroidery together and supporting your creative and business growth.
